How can I reach the Examinations Office?

You can reach the Examinations Office during usual office hours by phone or contact the team by e-mail. You will find the contact details of your responsible administrator under your degree programs.

 

Can I also arrange a personal appointment?

In general, for your own protection and for the protection of our employees, consultation currently only takes place by telephone or e-mail.

Cross-border commuters

Cross-border commuters

Students who reside in a risk area abroad and commute to the KU on a mandatory basis for the purpose of their studies as well as return to their place of residence on a regular basis, at least once a week, may apply for a certificate of required necessity for entry for study purposes (Section 2 para. 2 no.4 b Einreise-Quarantäneverordnung (entry quarantine regulation, EQV)).

The certificate can be applied for in writing by e-mail (sent from your KU e-mail address) to the KU Student Office (studierendenbuero(at)ku.de).

The compelling necessity of regular entry and return to the foreign residence at least once a week must be conclusively justified.

Proof of the foreign residence must be attached to the application.

Holding examinations

Hygiene

What are the special hygiene-related provisions that need to be taken into account when holding examinations in the current situation?

When holding examinations, the KU Hygiene Concept must be adhered to.

Regulations on the implementation of on-campus examinations can in particular be found in Annex A of the Hygiene Concept

 

Participation or withdrawal from the examination

What do I have to do if I have been quarantined by the Health Office after I have already registered for an exam or if I notice typical symptoms of the disease (e.g. fever, cough or breathing difficulties)?

It is not permitted to take part in the examination.
It is possible to withdraw from the examination for reasons that do not lie within your control.
An application to withdraw from the examination can be sent to the responsible board of examiners or the responsible examination committee via the Examinations Office. The relevant certificate from the Health Office or the medical certificate must be attached.

 

What should I do if a person in my immediate environment has had contact with an infected person who was tested positive and if I want to take an examination?

Please contact the Head of the Examinations Office for clarification of your individual case.

 

Crediting of examination achievements of the 2021 summer semester

Despite the COVID 19 pandemic, the 2021 summer semester will not be a lost semester. This means that all examinations taken in the 2021 summer semester count and the corresponding ECTS credits can be acquired.

 

Freiversuch (non-binding free examination attempt)

Can participation in module examinations in the 2021 summer semester be considered a free examination attempt?

The 2021 summer semester is to be considered a regular semester with regard to examination performances.

This means that the regulations for passing and retaking exams as set out in the respective examination regulations apply. Furthermore, no special regulations for free attempts or for additional repetitions are provided.

 

Is there a free attempt in the 2021 summer semester in connection with State Examinations?

There are special regulations in connection with the State Examination. They are published on the website of the Ministry of Education.
According to these regulations, the 2021 summer semester will not be considered a university semester as regards regulations on the free examination attempt (Section 16 LPO I) and the registration deadline (Section 31, paragraph 2 et seqq.  LPO I).

Are there any special regulations in the 2021 summer semester regarding the standard length of degree programs and the maximum permissible length of programs?

The standard lengths of programs as stipulated in the examination regulations of the KU remain in force.

In deviation from this, the individual standard program length is automatically extended by one semester for all students who are enrolled in the 2021 summer semester and who are not on leave of absence. This means that the current summer semester is not calculated towards the standard length of degree programs. This means that the regular dates and deadlines that are bound to the semester and thus also to the standard length of degree programs will automatically be postponed or extended by one semester (in particular as regards the maximum permissible length of programs). This regulation also already applied during the past 2020 summer semester and the 2020/2021 winter semester.

Submission deadlines

Are there any changes regarding submission deadlines for final degree papers, seminar papers and written assignments?

The option of picking up ordered books from the Main Library or the Ingolstadt Branch Library had to be discontinued due to legal requirements.

The mail order service is still available. Books ordered by 4 p.m. on December 22 will be shipped before the holidays. The shipping costs for these orders before Christmas will be covered by the KU.

Thus, the supply of literature for final theses, for example, should be secured for the most part.

A general extension of submission deadlines is not possible. Should, however, transpire in individual cases that it is not possible to procure the literature to the extent required for the preparation of a paper, or for other reasons related to the corona situation for which you are not responsible, you can apply for an extension of the deadline to the examination board or examination committee responsible for your degree programs via the Examinations Office.

Will the deadlines for submission of qualifying papers (Zulassungsarbeiten) be postponed?

Submitting documents online

Final theses

How can I apply for issuance of a topic for my Bachelor’s or Master’s thesis?

The application form for issuance of a Bachelor’s or Master’s thesis topic can be submitted as a scan by e-mail. The form must be signed by hand and the scan must be sent from your KU e-mail address to the responsible administrator at the Examinations Office and your supervisor in cc:
Your supervisor can then send his or her consent to the topic from his or her KU e-mail address to the responsible administrator at the Examinations Office. The responsible administrator shall then inform the student of the period allocated for working on the thesis by sending an e-mail response.

 

In what form do I have to submit my final thesis?

Due to the current situation, final theses may temporarily be submitted in digital form again. Since it may not be possible to print and bind final theses at present, it is sufficient to send the PDF version by e-mail to the responsible administrator at the Examinations Office in order to meet the deadline. Please sign the declaration on oath by hand and attach a scan of the document when submitting the thesis. It is imperative that the e-mail be sent from the KU e-mail address. Students have to submit the printed version of their Bachelor’s or Master’s thesis as soon as the situation allows. The grade for the thesis can only be recorded in the system once the student has submitted the thesis to the Examinations Office in bound form.

Those who still wish to submit their work in printed and bound form can do so by mail: Final theses of students at the Eichstätt Campus can be sent by registered mail to the responsible administrator at the Examinations Office, Ostenstraße 26, 85072 Eichstätt, Germany. Students at the Ingolstadt campus, please send your final theses to the following address: Auf der Schanz 49, 85049 Ingolstadt, Germany.

In addition, there is the possibility to submit the papers personally by throwing them in the central mailbox at the KU Main Building.

In which form can other written examination papers such as seminar papers, written assignments or portfolios be submitted?

Examiners are asked to allow the submission of these papers in digital form (PDF) as well. Here, too, the PDF must be sent from your own KU e-mail address to the KU e-mail address of the examiner.

The form for obtaining the supervisor's consent can be downloaded online from the Examinations Office’s website at the State Examination page. The supervisor of the qualifying paper must give his or her consent in writing.

Motions and applications

Can applications and documents currently be submitted digitally from my KU e-mail address?

At present, application forms and documents that are signed by hand can be submitted as scanned PDF attachments from the KU e-mail address.
Students will be notified if original documents have to be submitted subsequently.

Types of examination

In what form can examinations currently be held?

Written examinations

It is allowed to hold on-campus written examinations. There is currently no possibility of holding written examinations as online remote examinations

Oral examinations

In the 2021 summer semester, oral examinations can be held both on-campus and online.
If the examiner decides to offer the examination online, students can choose whether they want to accept the online examination offer or prefer taking the examination on-campus. Oral exams may be held via video conference, provided that the systems that are approved by the KU are being used (Zoom or DFN).

Students make their choice when registering for examinations directly by registering for the correspondingly marked examination entry in KU.Campus (online or on-campus form). More detailed information will also be announced in the course of examination registration on KU.Campus.

Can students choose examination types in the current semester that are not provided for in the examination regulations and module description?

Due to the current exceptional situation, it is also possible to deviate from the examination types stipulated in the study and examination regulations. The „Corona Statutes“ of the KU provide the legal basis for this.

Where can I find all key regulations concerning the dates for registering for and de-registering from examinations, the examination dates and the dates for the publication of grades?

Inspecting examination scripts

Personal inspection

It is currently not possible to inspect examination scripts on campus. For module examinations, students have the possibility to inspect examination scripts digitally.

 

Online inspection

Inspecting and discussing examination documents using Zoom

A zoom appointment can be arranged in which the examination documents can be viewed using screen sharing. This also offers the possibility of discussing the examination results at the same time.

Inspecting examination documents by e-mail

For this purpose, a scan or photo can be sent from the KU e-mail address to the KU e-mail address of the student as a password-protected ZIP file; the password, which must be chosen individually for every student, must be communicated by telephone.

An instruction for lecturers/employees of the KU on how to create a ZIP file is available in German on the Intranet under Administration - Prüfungsamt.

In case of online inspection, it is expressly pointed out that publication or forwarding of the documents, which were sent for inspection, to third parties is prohibited for copyright reasons.

Opening ZIP files for MAC users

Mac users cannot open password-protected zip files without help. You will be asked to enter the password, but it will not work. In this case, please proceed as follows:

Step 1: Please install Keka on your Mac PC https://www.keka.io/en/

Step 2: Please right-click on the ZIP folder and select “Open with” Keka

Step 3: A new window will open in which you can now enter the password

Step 4: The file is now unzipped

Inspection of examination documents of State Examinations

Examination documents of State Examinations can only be inspected personally on-campus. All relevant information in this respect is available on the State Examinations website. It is currently still unclear whether or when we will be able to offer on-campus appointments for personal inspection. This strongly depends on the developments in the corona situation.

 

Internships

What is the procedure in the event of a corona-related interruption of the internship?

Internships shall be completed in accordance with the examination regulations.
If an institution closes down or is unable to employ interns due to the current situation and the internship has already been started, the internship can be continued when the institution re-opens or is able to employ interns again, provided the institution agrees. Interns shall decide at their own discretion whether to interrupt the internship to protect their own health.

Whether a partially completed internship must subsequently be completed by additional internship periods or whether it can be considered an entirely completed internship is decided upon request by the respective board of examiners or examination committee.

Studying abroad

Is it possible to postpone a semester abroad that is envisaged for a fixed period of time in the examination regulations?

The provisions of the KU Corona Statutes generally allow postponing semesters abroad. Details are to be clarified with the persons responsible for the degree programs in agreement with the respective Dean of Studies.

 

What are the consequences for students who cannot complete a required stay abroad (e.g. required semester abroad and double degree programs)?

The provisions of the KU Corona Statutes generally allow postponing semesters abroad. Details are to be clarified with the persons responsible for the degree programs in agreement with the respective Dean of Studies.

 

Can substitute modules be taken instead of the required semester abroad?

As a rule, a semester abroad cannot be replaced by substitute modules, as the intention of the semester abroad is, among other things, to get to know the foreign culture, to apply language skills and to gain experience in dealing with foreign institutions. Details and exceptions are to be clarified with the respective contact persons for the degree programs in question.
