Erasmus+ staff mobility for training purposes (STT)

What is Erasmus+ STT?

As a further supporting measure of the internationalization strategies of higher education institutions, the Erasmus+ STT funding line provides support for professional development and continuing education measures for university staff (teaching practice and administration) at European universities and at foreign institutions/companies within the Erasmus area. The stays abroad must last at least two days.

What can be funded?

Erasmus+ STT (Staff Mobility for Training) can provide funding for a variety of activities aimed at enhancing the skills and knowledge of staff. The eligible activities typically include:

  1. Structured Training Programs
    These programs must align with the participant's job profile at their home institution (e.g., at the KU). They should offer structured learning opportunities relevant to their professional role.
  2. Subject-Related, Advanced Language Courses
    Funding is available for language courses that are specifically advanced and subject-related, provided these courses are not available at the KU.
  3. Work Shadowing (Job Shadowing)
    This involves observing and learning from colleagues in similar roles at partner universities or institutions. The host's responsibilities should align with the participant’s area of work at the home institution. This enables knowledge transfer and exchange of best practices.

These activities must contribute to the professional development of the participant and align with the goals of Erasmus+ STT mobility.

Who is eligible for funding?

The STT program offers support for university staff from all areas, including but not limited to:

  • General & technical administration (e.g. examinations office)
  • University library
  • Subject areas
  • Faculties
  • Financial departments
  • International office
  • Public relations departments
  • Student advisory service
  • Degree program development and quality management
  • Continuing education in didactics for English language teaching

Special consideration is given to the fields of administration/coordination of international degree programs and the areas of general administration particularly affected by this, the promotion of the internationalization strategy and the exchange of "know-how" in the field of documentation and information.

Which places of destination are included in the funding program?

Staff mobility must be implemented in a country that is part of the program and that is not the country of the sending institution (i.e. not in Germany) and not the main country of residence of the person concerned.

Which countries are part of the program?

All countries that officially participate in the Erasmus+ scheme. An overview of all participating countries is available HERE.

How long does a staff mobility program last?

The minimum duration is two working days. Due to budget limitations, stays can currently be funded for a maximum of two weeks.

 

How high is the funding amount or scholarship?

The Erasmus+ mobility grant includes travel and accommodation costs, which are subsidized by the EU KOM / NA DAAD as unit costs. The unit costs of the journey are calculated using the Distance Calculator. The place of departure is always the respective place of employment (Eichstätt or Ingolstadt).

Subsidy for travel expenses (project 2024)

When using a private car (without carpooling) and/or an airplane as the main mode of transportation, travel costs are calculated solely based on the distance according to the Distance Calculator (fixed amount per participant):

  • 10 to 99 km = EUR 28
  • 100 to 499 km = EUR 211
  • 500 to 1999 km = EUR 309
  • 2000 to 2999 km = EUR 395
  • 3000 to 3999 km = EUR 580
  • 4000 to 7999 km = EUR 1,188
  • 8000 km or more = EUR 1,735

If the journey is carried out as "Green Travel"*, the following fixed rates apply:

  • 10 to 99 km = EUR 56
  • 100 to 499 km = EUR 285
  • 500 to 1999 km = EUR 417
  • 2000 to 2999 km = EUR 535
  • 3000 to 3999 km = EUR 785
  • 4000 to 7999 km = EUR 1,188
  • 8000 km or more = EUR 1,735

*Green Travel refers to trips where more than 50% of the journey (outbound and/or return) is conducted using more environmentally friendly means of transport, such as trains, buses, or carpooling.

The funding of travel days (TD) within the framework of ST mobilities is not granted automatically, but must be based on actual need. A transparent and justified statement is required.

What can be funded?

  • Travel days are only eligible for funding if same-day travel at the beginning or end of the mobility is not feasible or reasonable.

What do participants need to provide?

  • Participants must indicate in their application whether and how many travel days are needed.
  • A brief justification of the need for additional travel days is required.

Green Travel

  • If the journey is undertaken in an environmentally friendly way (e.g. by train, bicycle, or carpooling), funding of up to 6 travel days is possible – regardless of the duration of the mobility.
  • In this case, a declaration on honour confirming the green travel method must be submitted.

Travel by Plane or Car

  • If same-day travel is not possible, one or two additional travel days may be funded.
  • A simple statement by the participant explaining the travel needs is sufficient in this case.
Accommodation costs (project 2024)

Subsistence costs are calculated based on daily rates. The participant's mobility program must indicate that activities related to the mobility measure took place on the funded days. The key requirement is a confirmation issued by the host university at the end of the stay, specifying the start and end dates of the stay (official business) as well as the number of hours completed.
The minimum duration of the stay is two working days.
Travel days may also be funded depending on individual needs (see travel cost section).

Subsidy for accommodation costs

The daily allowance per participant is as follows:

  • EUR 180.00 per day for stays in:
    Belgium, Denmark, Finland, France, Ireland, Iceland, Italy, Liechtenstein, Luxembourg, Netherlands, Norway, Austria, Sweden
  • EUR 160.00 per day for stays in:
    Estonia, Greece, Latvia, Malta, Portugal, Slovakia, Slovenia, Spain, Czech Republic, Cyprus
  • EUR 140.00 per day for stays in:
    Bulgaria, Croatia, Lithuania, North Macedonia, Poland, Romania, Serbia, Turkey, Hungary
How to apply for funding?

Please apply for your mobility programs at KU Mobility Online.

Priority will be given to applicants planning a stay in the context of (existing and/or planned) double degree programs and structuring measures, and to first-time applicants.

  1. Please submit the funding application in our Mobility Online portal: log in with your KU ID and register. You will then receive an automatic confirmation of registration with a request to complete your personal master data. After you have done this, you have to upload a proposal for a Mobility Agreement (signatures are not yet required). Only then, your application is considered "submitted" and can be checked.
  2. Once you have received a funding approval, please submit a business trip application.

Please note: A business trip approval for your planned stay abroad does not imply any payment obligation on the part of the KU. If the funding requirements have not been met, business trips that have already been approved may not be funded from Erasmus+ funds. 

Application deadlines: Subject to the availability of Erasmus+ funds, applications are submitted on an ongoing basis, but should be submitted no later than six weeks before the start of the trip. 

Which documents are required for the application?

  • Mobility Agreement outlining the agreed content, signed by the direct supervisor (for professors without their own chair, the dean’s signature is required).
  • Invitation letter or confirmation from the host university (not mandatory).
  • Grant Agreement, which will be sent automatically via email in case of funding.
  • Approved business travel request (a sworn statement confirming that the request has been submitted and approved is sufficient). Not required for emeriti and adjunct lecturers without a permanent position.
  • Confirmation of stay  issued by the host university (must not be issued before the end of the mobility period).
  • Participation in the EU Survey online questionnaire, prompted via email by the EU Commission.

Information regarding insurance protection

An Erasmus+ mobility grant does not include any insurance cover. Neither EU KOM, NA DAAD nor the KU are liable for damages resulting from illness, death, accident, injury to persons, loss or damage of property in connection with Erasmus+ stays abroad.

By signing the Grant Agreement, the grantees undertake to provide for the following insurance cover themselves: 

  • Travel insurance, if necessary
  • Liability insurance (professional and personal liability, if applicable)
  • Insurance for accidents (during business trips, participants are insured against accidents) and serious illnesses (including full or partial incapacity to work)
  • Term life insurance (including repatriation from abroad)

In addition, participants should have a European health insurance card.

It is possible to be included in the DAAD group insurance scheme, which offers comprehensive insurance cover.
