Internships abroad, especially research internships (SMP)

Under the Erasmus+ education program, doctoral students at the KU have the opportunity to receive a grant for an internship abroad. There are short-term and long-term internships.

Persons eligible for funding

  • Doctoral students enrolled at the KU can be funded for short-term (5 to 30 days), but also for long-term (60 to 360 days) research internships abroad.
  • Important: The project character should be clearly visible.
  • Stays abroad as an exchange student (guest doctoral candidate) in structured doctoral programs cannot be funded in this funding line.

Scholarship of at least € 690.00 per month (30 days) for physical mobility (see below) sorted by country group:

Country group 1: € 750.00 per month: Austria, Belgium, Denmark, Finland, France, Italy, Iceland, Ireland, Liechtenstein, Luxembourg, Netherlands, Norway, Sweden.

Country group 2 and 3: € 690.00 per month: Bulgaria, Estonia, Greece, Croatia, Latvia, Lithuania, Malta, North Macedonia, Poland, Portugal, Romania, Serbia, Slovakia, Slovenia, Spain, Czech Republic, Turkey, Hungary, Cyprus.

Long-term internships: Monthly funding levels Erasmus+ Partner Countries

Stipend of at least € 700.00 per month (30 days) for physical mobility (see below) sorted by country group:

Partner countries of regions 13 and 14: 750,-- € per month: Andorra, Faroe Islands, Great Britain, Monaco, San Marino, Switzerland, Vatican City

Partner countries of regions 1 to 12: € 700.00 per month: All countries not listed so far, with the exception of Belarus, North Korea, Russia and Syria. Funding is not possible in these countries.

General information on receiving payments
  • The grant is disbursed in two installments (80% / 20%). The final funding amount will be determined upon completion of the internship.
  • Any salary or payments you receive for the internship (Praktikumsentgelt) will not be credited.
Physical/online mobility phase

You can only receive an Erasmus+ grant for the physical mobility phase. If part of your internship takes place online and can be completed from Germany, you are not entitled to financial support for this period.

Irrespective of this, the total duration of the internship of at least 60 days and a maximum of 6 months (long-term internships) or at least 5 days and a maximum of 30 days (short-term internships) counts for the scholarship application.

If you work from home during your internship in the destination country (home office), this will count towards the physical parts of the mobility program.

Receiving support more than once

Yes, it is possible to receive funding more than once subject to the following conditions

  • multiple funding of internships in Erasmus+ program countries is possible as long as the total duration does not exceed 360 days in the course of a doctorate
  • multiple funding of internships in Erasmus+ partner countries is not possible

Special funding/ Top-Up

Travel Expenses and Green Travel

With the topic of “Environment and combating climate change”, Erasmus also wants to raise awareness among sponsors and institutions about climate change and environmental protection, and in particular about the ecological footprint that participants generate through mobility.

Green travel" refers to trips where low-emission means of transport such as bus, train or carpooling are used for the majority of the journey.

There is no detailed list of possible means of transport in the Erasmus+ program. For example, travel by ship also counts as “green travel” if the location can otherwise only be reached by plane (e.g. Ireland, Iceland, etc.).

The following means of transport are classified as sustainable in the Erasmus+ program:

  • Train
  • Carpool
  • bus
  • Bicycle
  • On foot
  • Boat

Up to a total of 6 travel days are subsidized for green travel. A maximum of 2 travel days are funded for standard travel. This applies both to internships in Erasmus+ program countries and to internships in Erasmus+ partner countries.

When applying, you undertake to keep the original proof of arrival/departure for 5 years and to submit it to the International Office of the Catholic University of Eichstätt-Ingolstadt for review upon request.

Proof: e.g. travel tickets. Upload the copies of the proof in Mobility-Online after the mobility.

Participants with fewer opportunities

General information

In addition to your Erasmus+ funding, you may be able to apply for a top-up for participants with fewer opportunities. The top-up amounts to 250.00 euros per month for long-term stays and up to 150 euros per month for short-term stays.

Please note: The top-ups for participants with fewer opportunities cannot be combined with each other. This means that even if you fulfill several of the following conditions, you can receive a maximum of one grant.

Top-up for first-time graduates

This top-up can be applied for by doctoral students, none of whose parents (or legal guardians) have an academic degree (FH or university). A master craftsman's certificate is NOT counted as an academic degree in this context. In the case of single parents, this regulation only applies to the parent with whom the child lived.

Proof: Honorary declaration from your parents or legal guardians (for single parents: the parent).

Top-up for employed doctoral candidates

Doctoral students who have been in continuous employment for at least six months prior to the start of their internship abroad and who are unable to continue this employment during their stay abroad are entitled to apply for this top-up. The following applies:

  • Monthly earnings of between 520.00 and 850.00 euros. The net earnings from all activities per month are added together; if different, the average value from six months applies
  • Exercise: At least 6 months consecutively, up to at least three months before the start of the internship
  • Termination is not a requirement - the employment contract can also be paused.

Note: Unfortunately, doctoral candidates who are self-employed are not eligible to apply (the DAAD is currently discussing an amendment to this regulation).

Proof: payslip or tax certificate/tax return.

Top-up for doctoral students with child(ren)

Doctoral students who are traveling abroad for an internship with their child/children can apply for this top-up. The amount is independent of the number of children. By applying for this top-up, you undertake to submit proof that the child belongs to you and will be traveling with you. The additional funds can also be granted for couples. However, double funding for a child is excluded.

Please note: Doctoral students with child(ren) can alternatively submit a real costs application. In this case, the real costs must be fully substantiated by receipts. If you wish to apply for real costs, please contact the KU International Office at least three months before the start of your mobility.

Proof: Copy of the child's birth certificate and travel ticket.

Top-up for doctoral candidates with a severe disability or chronic illness

Doctoral students with severe disabilities and doctoral students with a chronic illness that is associated with additional financial requirements abroad can apply for this top-up. When applying for this top-up, you undertake to submit proof of your disability or chronic illness (e.g. confirming medical certificate or severely disabled person's ID card). In the case of a chronic illness, the medical certificate must state that you will incur additional financial expenses abroad as a result.

Please note: Doctoral candidates with a severe disability or chronic illness can alternatively submit an application for real costs. In this case, the real costs must be fully documented with receipts. If you wish to apply for real costs, please contact the KU International Office at least three months before the start of your mobility.

Evidence:

  • Chronic illness: Medical certificate confirming that you have additional financial needs abroad due to your chronic illness. The type of illness and the amount of the additional need do not have to be noted or quantified.
  • Severe disability: Copy of the severely disabled person's ID card or medical certificate.

Which internships are eligible for funding and which are not?

In general, the project character must be clearly evident.

Internships in the following areas are eligible for funding (examples):    

  • Teaching internships
  • Research internships

Stays for the following purposes are not eligible for funding:

  • Field research
  • Pure research work
  • Visits to libraries and archives for research purposes

Possible internship countries

Internships can be funded via Erasmus+ in the 33 participating program countries.

Internships can be funded via Erasmus+ in participating partner countries.
Internships in the partner countries Belarus, North Korea, Russia and Syria are not eligible for funding.

Duration of internship

  • In addition to long-term research internships (2 to 12 months), short-term stays abroad (5 to 30 days) are also possible for registered doctoral students.
  • Multiple funding of internships in Erasmus+ program countries is possible as long as the total duration does not exceed 60 to 360 days.
  • Multiple funding of internships in Erasmus+ partner countries is not possible.

Selection criteria

  • Formalities (correctly completed and complete application documents submitted in good time before the start of the internship)
  • Motivation
  • Professional relevance to the intended doctoral project
  • Timing of the application ("first come, first served"). Scholarships can only be granted as long as funds are available. As soon as these funds are exhausted, funding is only possible again in the following project year.
  • Applications cannot be submitted after the start of the internship

Application process

Internship search

Look for an internship in one of the countries that are eligible for funding. The position should have a sensible connection to your studies and basically meet the guidelines of the program.  We recommend taking care of this at least 6 months before the start of the internship. The Service Center will be happy to help you find an internship.

After internship acceptance

Apply in KU Mobility-Online as follows:

1. Register HERE with your KU ID (e.g. wws1234 and your password*)

2. You will then receive a confirmation of registration by email with your login name. From now on, please use the link in this confirmation email to access your application data.

3. All required documents must then be uploaded to Mobility Online  One pdf document per step is possible (multi-page up to max. 5 MB).

Create the Erasmus+ Learning Agreement for Traineeships:

Work out the content of the traineeship together with the traineeship institution. These must be set out in writing in the Learning Agreement for Traineeships (template see Documents & Downloads).

Also discuss the internship content with the person who will supervise your doctoral project and also sign the Learning Agreement for Traineeships (“coordinator at the Sending Institution”). Sign the completed Learning Agreement for Traineeships yourself and obtain the signature of the internship institution. This can be done electronically, i.e. by e-mail.

As early as possible, at least one week before the start of the internship

 Please upload all application documents to Mobility-Online:    

  • Erasmus+ Learning Agreement for Traineeships (signed by all parties)
  • Application form (signed printout of the online application)
  • Certificate of enrolment
  • Copy of your most recent university degree
  • Curriculum vitae in tabular form
  • Letter of motivation addressed to the International Internships Service Center (max. 1 A4 page)
  • Proof of insurance coverage for health, accident and personal liability insurance (tip: the combined health, accident and personal liability insurance of the DAAD)

Once the application documents have been checked, the grant agreement will be issued by the IP Service Center and sent to you by e-mail. Sign the Grant Agreement and upload it to Mobility-Online.

Grant approval and payment

If you are accepted, you will receive funding from € 490.00 per month (30 days each). Initially, 80% of the total funding amount will be paid out to you.

Changes to the training agreement / extension of the internship


Changes to the content and form of the internship, i.e. changes to the Learning Agreement, which occur after the start of the internship must be agreed in writing immediately.

Please inform us in writing by e-mail to praktika-international(at)ku.de two weeks after the start of the internship or immediately after you become aware of the change.

Changes to the Learning Agreement for Traineeships must be confirmed in writing and signed by all parties involved. Please use the amendment template in the “Learning Agreement for Traineeships” (see download area).

Any extension of the Erasmus+ traineeship must be requested informally by e-mail to praktika-international(at)ku.de at least 30 days before the end of the originally agreed stay. The extension period must immediately follow the current stay and must not exceed the maximum funding period of 360 days.

During the internship

Please submit a short evaluation two weeks after the start of the internship (upload in Mobility-Online) and provide information (in bullet point form) on:

  • Familiarization phase
  • Supervision
  • Internship contents
  • Integration in the company
  • Social network outside the company
  • Potential problems

After half of the internship period is over

After half of the internship period is over, please submit a short interim report (1.5-2 pages) (upload in Mobility Online). This should contain the following aspects:

  • Information on the implementation of the internship
  • Tasks
  • Supervision
  • General judgment regarding satisfaction with the internship

After the internship

Payment of remaining amount

After completing your internship, you must submit the following documents to the IP Service Center within four weeks (upload in Mobility Online):

  • Experience report (please only use the template with cover sheet, see Documents & Downloads): This should contain tips for future interns (3-5 pages)
  • Qualified work reference or confirmation of internship (see Documents & Downloads) from the internship institution
  • EU-Survey online survey (no upload in Mobility Online): You will receive the access data by e-mail. Please note: It is possible that the e-mail will end up in your spam folder. Participation in the survey is mandatory.

Once you have confirmed your participation in the EU survey in Mobility-Online, the remaining amount of the scholarship will be paid out.

  •  Possible at any time via KU Mobility-Online: please follow the instructions in the application procedure above. You can only create a new SMP application via the link to Mobility-Online included here. Important: read all instructions carefully before applying!
  • Complete application documents must be uploaded to Mobility-Online at least one week before the start of the internship
  • Complete application including grant agreement must be submitted via Mobility-Online before the start of the internship
