Application process for Erasmus+ internship (SMP)

At least 6 months before planned stay abroad

Look for an internship in one of the countries that are eligible for funding. The position should have a sensible connection to your studies and basically meet the guidelines of the program. The Service Center will be happy to help you find an internship.

 

After internship acceptance

Apply using KU Mobility Online as follows: 

  1. Register HERE with your KU user ID (e.g. wws1234 and your password*) 
  2. You will then receive a registration confirmation e-mail with your login name. From now on, please use the link in this confirmation e-mail to access your application data.
  3. All required documents must be uploaded to Mobility Online in a next step. One pdf document is possible per step (multi-page up to 5 MB max.).

Preparation of the Erasmus+ Learning Agreement for Traineeships:

Work together with your internship facility to develop the contents of the internship. These must be set down in writing in the Learning Agreement for Traineeships (template see Documents & Downloads under Application process).

Also discuss the internship contents with your program coordinator or a faculty member who is the academic supervisor of the internship("  Academic coordinator") and also signs the Learning Agreement for Traineeships  ("Academic coordinator at the Sending Institution"). Sign the completed Learning Agreement for Traineeships yourself and obtain the signature of the internship institution. This can be done electronically, i.e. by e-mail.

For the further process regarding the form of academic recognition (required internship=ECTS, voluntary internship= entry in the Diploma Supplement) you want to receive for the Erasmus+ internship, please contact the board of examiners of your degree program. After the Learning Agreement for Traineeships has been returned by the internship institution, also have it signed by the chairperson of the board of examiners in your degree program who will give academic credit for the internship. Important: Voluntary internships do not need to be signed by the examination office.

As early as possible, at the latest one week before the start of the internship

Please upload all application documents to Mobility Online: 

  • Erasmus+ Learning Agreement for Traineeships (signed by all parties)
  • Application form (signed printout of the online application)  
  • Certificate of enrollment
  • Résumé in table form
  • Letter of motivation addressed to the International Internship Service (no longer than one A4 page)
  • Proof of language proficiency or other proof of language skills(see information on the subject of Language certificates
  • List of academic achievements to date (Examinations Office)
  • Proof of insurance coverage for health, accident and personal liability insurance (tip: the combined health, accident and personal liability insurance of the DAAD)

After the application documents have been reviewed, the mobility grant will be calculated and the Grant Agreement for an Erasmus+ student internship will be issued by the Service Center International Internships and sent to you by e-mail. Please print this in duplicate and sign both copies. Return both copies to the Service Center International Internships by e-mail or submit them in person.

 

Grant approval and payment

If your application is approved, you will receive funding starting at € 400.00 per month (30 days). Initially, you will receive  70% of the total funding amount.

 

Changes to the Training Agreement / extending the internship

Changes to the content and form of the internship, i.e. changes to the Learning Agreement that arise after the start of the internship, must be agreed in writing without undue delay.

Please inform us about this in the short evaluation two weeks after the start of the internship in writing by e-mail to  or immediately after you have become aware of the change.

Changes to the Learning Agreement for Traineeships must be confirmed in writing by signature of all parties involved. For this, please use the template for changes to the "Learning Agreement for Traineeships" (see download area).

You must apply for any extension of the Erasmus+ internship informally by e-mail at least 30 days before the end of the originally agreed stay to . The period by which you wish to extend your internship stay must immediately follow the current stay and may also not exceed the maximum funding period (12 months).

During the internship

Please submit a short evaluation two weeks after the start of the internship (upload in Mobility Online) and provide information (in bullet point form) on:

  • Familiarization phase
  • Supervision
  • Internship contents
  • Integration in the company
  • Social network outside the company
  • Potential problems

After half of the internship period is over

After half of the internship period is over, please submit a short interim report (1.5-2 pages) (upload in Mobility Online). This should contain the following aspects:

  • Information on the implementation of the internship
  • Tasks
  • Supervision
  • General judgment regarding satisfaction with the internship

After the internship

Payment of remaining funding amount

After completion of the internship, please submit the following documents to the Service Center International Internships within four weeks for payment of the remaining funding amount (upload in Mobility Online):

  • Experience report (please only use the template with cover sheet , see Documents & Downloads under application process): This should contain tips for future interns (3-5 pages)
  • Qualified employer’s reference or internship confirmation (see Documents & Downloads under application process) issued by the internship institution
  • “EU Survey” online survey (no upload in Mobility Online): You will receive access data by e-mail. Please note: It may happen that the e-mail ends up in your spam folder. Participation in the survey is mandatory.
Recognition

As stipulated in the Grant Agreement, the achievements completed abroad will be fully recognized at your home university. The prerequisite for recognition is that you apply for this independently at the Examinations Office (Diploma Supplement) or at the respectively responsible  board of examiners (ECTS).
