What is recognition and credit transfer?

Recognition of academic achievements

Recognition is the term used when students wish to include skills acquired outside their current degree program at the Catholic University (KU) into their course of study. Recognition refers to the formal confirmation that academic skills acquired in an external institution are not significantly different to the achievements to be acquired in the KU degree program and can therefore replace them.

Typical situations for recognition and credit transfer are:

  • When changing university: When students change their university and would like to have modules they have already completed recognized for the new degree program.
  • When changing degree program: When students change their degree program and would like to have academic achievements in polyvalent modules that are part of both degree programs transferred.
  • When spending a semester abroad: When students have spent a semester abroad and have completed courses that they want to have recognized for their degree program at the KU.
  • When completing courses at the VHB (Bavarian Virtual University): When students successfully complete VHB courses and would like to include these achievements in their degree program.

Recognition of non-academic achievements

We speak of recognition and credit transfer when students want to have modules of their degree program at the KU replaced with skills acquired outside the University.

In contrast to academic recognition, students must provide proof that the achievements are equivalent here. Achievements are seen as equivalent if the acquired skills are largely the same as those required in the degree program in terms of content, workload, and learning requirements.

The following skills, among others, are eligible for recognition:

  • Skills from professional training with a recognized qualification: e.g. vocational training at a school for master craftspeople (‘Meisterschule’).
  • Skills from professional development and continuing education: e.g. seminars, company training courses at the adult education center (‘Volkshochschule’).
  • Skills from work experience or other: e.g. previous or current employment, internships.

Skills acquired in non-university contexts can replace a maximum of half of the skills to be proven in the degree program.

Important note: The person submitting the credit transfer request is responsible for providing proof of equivalence. As a rule, it is therefore necessary that the person prepares a portfolio that includes a comparison of the non-university skills and the respective KU module in detail with regard to content, workload and learning requirements. Only if it can be clearly demonstrated that the skills are essentially the same there is a chance for approval of a corresponding credit transfer request.

Re-booking an incorrect registration

A re-booking enables subsequent correction if you have accidentally made a mistake when registering for an examination and such mistake was only discovered after you have already taken the exam. This applies in the following cases:

  • Incorrect exam registration due to identical title lines: You have registered for the wrong examination because the title of the examination entry in KU.Campus was the same as the title of another examination; but you have already taken the correct examination.
  • Registration for another ECTS variant: There are two ECTS credit variants of the module and you have registered for the examination for the wrong variant, although you have completed the examination for the other variant.
  • Incorrect module version due to different versions of examination regulations: Several module versions are available due to different examination regulations for a degree program and you have accidentally registered for the wrong examination, e.g. an older module version.
  • Examination entry not provided in KU.Campus: The required examination entry was not provided by the subject coordinator in KU.Campus, but you have completed the relevant examination for the intended module.

Credit transfer request

Digital submission of the request in the credit transfer portal

You can submit an application in the online credit transfer portal for the degree programs in which you are enrolled. You can find detailed instructions on how to use the portal here.

If your degree program does not yet support the online function, or if there are other reasons why you are unable to submit your request online, no problem! You can create a corresponding ticket here  by selecting “Anrechnung” in the Category drop-down. You will then receive all the necessary information and assistance on how to proceed in your specific case.

The following degree programs do not yet allow online submission of request forms:

  • Bachelor’s degree program in Mathematics
  • Magister in Theology
  • Master’s degree program in Education for Sustainable Development
  • Master’s degree program in Environmental Processes and Natural Hazards
  • Supplementary program in Religious Education and Pastoral Care
  • Supplementary program in Sustainable Development
  • Supplementary program in Personal Development and Social Commitment
  • Supplementary program in Theater Education: Performance Art

When should a credit transfer request be submitted?

A credit transfer request should be prepared carefully and with sufficient knowledge of the degree program and its modules. The timing of the request can play an important role in planning your studies.

  • Early submission of request: Submitting a credit transfer request as early as possible in your studies (from enrollment at the earliest) will allow you to have a reliable overview of the modules you still need to take right at the start of your studies.
  • Submission in higher semesters: If a credit transfer request is submitted at a later stage of your studies, there is a risk that the maximum duration of study will be exceeded after the recognized examination results have been recorded and the associated semester upgrade. This may mean that it is no longer possible to graduate successfully within the remaining period of study. After exceeding the maximum permissible length of the program, the respective degree program is deemed to be failed.

Important note: No credit transfer request possible during an ongoing examination relationship!

Students can no longer submit a credit transfer request as soon as they have entered an examination relationship with the KU relating to the module in question and have already taken the examination.

Recognition of a module already successfully completed in the same degree program is only possible if it is expressly permitted to improve one’s grade or choose the same module multiple times.

Which documents must be attached to the credit transfer request?

1. Proof of academic achievement

The request must be accompanied by official confirmation of successful completion of the respective measures, i.e. proof of academic achievement. As a rule, these can be transcripts of records (universities), confirmations (VHB) and final academic records or certificates. Achievements from older, non-modularized studies can, for example, be documented with certificates or excerpts from course books.

  • Document format: The documents must be uploaded as PDF files. However, the Central Recognition Office is entitled to request the originals of the transcripts or certificates for verification.
  • Highlighting: In the attached transcripts or certificates, the individual study and examination achievements submitted for recognition must be highlighted in color and identified with consecutive numbers so that they can be clearly assigned.
  • Translations: Please attach the English version of the certificates, if available.

2. Explanatory documents

In addition, the submitted request must be accompanied by documents that provide information on the type and content of the courses attended and the modules completed. These include, for example:

  • Module descriptions (in particular descriptions of skills)
  • For non-modularized courses: Degree program descriptions, excerpts from the course catalog, etc.

Based on the attached documents, the responsible board of examiners must be able to verify acquisition of the skills that have been submitted for recognition. The person submitting the credit transfer request is responsible for providing the required proof.

Who decides on the credit transfer request and how does the process work?

The degree program’s board of examiners decides whether to accept the credit transfer request. In interdisciplinary degree programs, the decision can also be made by involving the respective subject representatives.

Each request is also checked for completeness and formal requirements by the Central Crediting Office before a final decision on the request is being made.

How and when will I know if my credit transfer request has been approved?

As soon as your credit transfer request has been processed and the accepted module has been entered in the campus management system, you will be automatically notified by e-mail. You can see the result of the recognition in the online credit transfer portal and download it as a PDF document.

Please allow up to 3 months for the entire credit transfer procedure to be completed. For Learning Agreements, the processing time is approx. 5 weeks.

Can a submitted credit transfer request be withdrawn?

Yes, you can withdraw the request as long as the board of examiners/examination committee has not yet decided on the recognition. Please submit the withdrawal of your credit transfer request to the  Central Crediting Office .

However, once a credit transfer decision has been made, it is binding. A recognized module is considered to be successfully passed. This means that the request can no longer be withdrawn afterwards.

What can I do if my credit transfer request has been rejected?

If approval of your credit transfer request has been refused in whole or in part, the reasons for the refusal are set out in the notification of recognition (PDF file in the credit transfer portal). The notification includes information on legal remedies.

In this case, you can request that this decision be reviewed by the Presidium in accordance with Section 7 (10) of the KU crediting guidelines. The Presidium will then make a recommendation to the board of examiners regarding the further handling of the credit transfer request. You also have the option of filing a complaint within one month of notification of the decision.

In order to request a review of the decision, please submit an informal letter with the subject "Review of credit transfer decision" to the Central Office for Recognition and Credit Transfer with the notification of recognition attached.

Once the review process has been completed, you will receive a notification of the result. If credit transfer is still refused, you have the option of filing appeal against this decision.

Effects of credit transfer

Student is placed in higher semester of a program

Each successful recognition of study and examination achievements of previous studies of more than 15 ECTS credits results in the student being enrolled in a higher semester of the program. The final allocation to a semester of the program is based on the total number of all recognized ECTS credits and is carried out in the steps specified for the respective degree program. Students will be notified of their placement in a new semester by e-mail.

Students are also placed in a higher semester if coursework or examinations worth more than 15 ECTS credits have been successfully recognized that were taken at another university during the period of leave of absence (except in the case of maternity/parental leave).

Marking of credit transfers in final academic record

The recognized achievements are specifically marked in the Transcript of Records. The way of marking these achievements is handled differently within the KU. In university degree programs, for example, it is customary to mark such achievements with an asterisk. One asterisk indicates the recognition of a module completed at the KU, two asterisks the recognition of a course or examination completed at another university.

Recognized modules are considered successfully completed.

Modules that have been recognized are recorded in the campus management system as successfully completed with the full number of ECTS credits. The assessment of the achievement is transferred, if applicable adapted to the KU grading scale or converted. Please see information under “transfer of grades”.

Repeated enrollment in the module is only possible after successful recognition if the option of choosing a module multiple times or improving the grade is expressly permitted for such module or for the degree program.

German Federal Student Grant (BAföG)

I have changed the degree program. What information does the BAföG office need regarding recognition?

After having changed the subject/degree program and having been placed in a higher semester of the program, BAföG recipients must submit a so-called semester reallocation notification to the BAföG office (‘Semestereinstufungsbescheid’).

With this notification, BAföG recipients should prove whether they have submitted a credit transfer request and in which semester they have been placed on the basis of successful recognition.

The BAföG office expects students to submit a credit transfer request for all previously completed academic achievements when changing their subject/degree program. If this is not the case, it is advisable to provide the BAföG office with a plausible explanation as to why none or not all previously completed study achievements have been submitted for recognition.

As a rule, it is sufficient to explain that you had a discussion with the student advisory service on this and that no or only a limited recommendation for recognition and credit transfer (which is not sufficiently relevant for being placed in a higher semester) was issued due to the fact that the modules were identified to be too different. Please enclose the overview of grades of previous study achievements and the KU examination regulations for the new degree program

Where can I get a semester reallocation notification (‘Semestereinstufungsbescheid’)?

If you have changed your degree program:

Please submit the Request form for a semester reallocation notification to the Central Crediting Office as soon as you have been notified of the recognition results of all submitted credit transfer requests.

If you have changed your subject:

After the change of subject has been completed by the Student Office, please submit the Request form for a semester reallocation notification to the Examinations Office  (Category drop-down "BAföG - Semestereinstufungsbescheid")

ECTS

Does the number of ECTS credits of the modules have to match?

No. The workload plays a subordinate role in the decision as to whether an achievement is to be recognized.

The assessment of the workload is always carried out in relation to the comparison of the learning outcomes acquired and those to be acquired or the skills to be achieved. Differences in workload are generally not an obstacle to recognition.

How many ECTS credits will I be credited when a non-modularized course is recognized?

You will always be credited the number of ECTS credits of the KU module for which you have your achievements recognized (so-called target module).

If you would like to transfer non-modularized achievements that are not assessed with ECTS credits (usually non-European academic achievements or professional achievements) to an elective area, without having a specific module recognized, the workload will be converted into ECTS credits as part of the formal review of your application.

As a reference: One ECTS credit corresponds to 30 hours of work. One academic year at the KU generally consists of modules worth 60 ECTS credits. This corresponds to a workload of 1,800 hours.

Teaching degree program

Basic qualification English

The foreign language qualification in English for the teaching profession at elementary school (LPO I Section 36) and for the teaching profession at lower secondary schools (LPO I Section 38) can be demonstrated either by attending an English course at the KU or by submitting proof of achievement of language level B2.

Recognition of the foreign language qualification in English is granted upon presentation of the original certificate or a certified copy to the responsible administrators at the Examinations Office for the relevant degree program. A credit transfer request  is not required in this shortened procedure.

Parallel recognition for teaching degree and interdisciplinary Bachelor’s program

If you are enrolled in a parallel interdisciplinary Bachelor's degree program at the KU with a teacher training profile and the achievements you have submitted for recognition for the teaching program are also part of the required or required elective courses of the Bachelor's degree program, such achievements will also be recognized for the Bachelor's degree program at the same time. Please note, however, that the modules of the teaching degree program and the Bachelor's degree program are not always identical and sometimes differ considerably.

Teaching internships

Recognition of internship achievements is only required in the teaching degree program if these achievements were not regularly completed as part of the current degree program (= in the preliminary studies) or at a school outside of Bavaria or outside the school context.

The internship offices are generally responsible for the recognition of school internships (including orientation and company internships). The responsibility of the KU is limited to the recognition of achievements outside the scope of the examination regulations for teaching degree programs (LPO I) (e.g. accompanying courses) and, if applicable, to determine whether the student should be placed in a higher semester of the program.

The recognition of internship achievements must therefore be requested in two stages:

 

 1. Request for recognition at the responsible internship office

 

2. Request for recognition submitted to the Central Credit Transfer Office at the KU

(Does not apply to orientation and company internships. These internships only need to be recognized by the internship offices)

 The following documents must be submitted in addition to the credit transfer request :

  • Internship record card (completed and signed). You can obtain the internship card (all school types) from the KU Internship Office.
  • Confirmation from the respective internship office (only applies to Gymnasium and Realschule if the internship was completed outside Bavaria or in another type of school)
  • Proof of academic achievements (only after changing university), usually transcript of records or overview of grades
  • Confirmation from the school where the internship was completed

Grade transfer

Will the grade from the other university also be transferred?

In the event of recognition and credit transfer, the grade is also adopted. If the grading scale from which the grades are transferred is not compatible with the KU grading scale , conversion is carried out using the Bavarian formula. If a conversion is not possible, the recognized achievement is marked as "ungraded".

How is the grade from abroad converted?

At the Catholic University of Eichstätt-Ingolstadt (KU), the foreign grade values are converted according to the so-called modified Bavarian formula, unless otherwise regulated by a collaboration agreement or in the respective examination regulations of the degree program. The highest grade to be achieved and the lowest pass mark in the foreign grading system are taken as the basis for the conversion. The specific grading scale used in a degree program is usually specified in the examination regulations of the respective university and stated in the Diploma Supplement or the Transcript of Records. General information on foreign grading systems is also available in the anabin database  of the Standing Conference of the Ministers of Education and Cultural Affairs of the Länder.

For some countries, the KU has also set lower maximum values that deviate from the sources mentioned:

  • Belgium (maximum value 17)
  • France (maximum value 17)
  • Great Britain (maximum value 74)
  • Ireland (maximum value 74)
  • Portugal (maximum value 18)
  • Spain (maximum value 9.5)
  • Stellenbosch University, South Africa (maximum value 80%)
  • University of Stirling, Scotland (maximum value 75)

The Bavarian formula in detail

Calculation is made to two decimal places. All further decimal places are omitted without rounding. The grades are then rounded as follows in accordance with Section 25 (3) sentence 3 of the General Examination Regulations (APO):

over 1.50 to 1.85          =          1.7

over 1.85 to 2.15          =          2.0

Recognition of or for an ungraded module

If recognition of a graded examination achievement has been approved for a module that is ungraded according to the examination regulations, the module is accepted with the grade "passed".

If recognition of an ungraded examination achievement for a module that is graded according to the examination regulations is approved, the module is nevertheless also accepted with the grade "passed". This is also possible if the module is graded according to the examination regulations. The module will then not be included in the calculation of the average grade. If an ungraded module is not taken into account, the weighting of the remaining grades is increased when calculating the final grade.

I would like to change university and come study at the KU. How can I find out which achievements are recognized?

The Catholic University of Eichstätt-Ingolstadt (KU) is generally open to the transfer of skills already acquired during previous studies. The decision as to which achievements replace parts or modules of the degree program is made by the responsible board of examiners as part of an application procedure. However, only students who are enrolled at the KU can submit a corresponding request for the procedure to be opened.

As long as you have not yet enrolled at the KU, you have the possibility to contact the Student Advisory Services  or the subject advisors for the teaching degree programs and consult their preliminary (non-binding) assessment. They may be able to help you better assess the chances of recognition of your achievements from your preliminary studies. 

In addition, you can also carry out a self-assessment with the help of the published module descriptions, that you can see on the KU.Campus platform. In particular, please compare the information regarding skills and content/topics. As long as there are no significant differences to the skills already acquired, the achievements should be eligible for transfer and recognition later.

VHB (Bavarian Virtual University)

Which VHB courses are recognized at the KU?

You can submit a credit transfer request (can be found in the credit transfer portal in the Category drop-down "Anrechnug von externen Leistungen/Recognition of external achievements") for all VHB courses in which the acquisition of specific skills has been proven by passing an examination (please note that mere participation is usually not sufficient).

I am planning to attend a VHB course. What do I need to do so that I can have the course recognized later?

If you are planning to attend a VHB course, we recommend that you check in advance whether the course can be recognized at a later date and obtain confirmation for this. In order to do so, please select request for crediting external achievements in the credit transfer portal in the Category drop-down "VHB (Vorabprüfung/preliminary check)". After successfully completing the VHB course, only the grade needs to be added to the request to be submitted.

Aim of credit transfer and recognition – modules and parts of the degree program

For which modules and parts of the degree program can I submit a credit transfer request?

A credit transfer request can be submitted for all modules or parts of the degree program as listed in the examination regulations and the associated documents (e.g. module catalogs of the required electives). These modules and parts of the program are made available for selection in the "Target module" field in the credit transfer portal.

For which required elective modules can I submit a credit transfer request?

Modules from the required elective area are usually specified in the examination regulations or in the required elective catalog. The required elective catalog is only valid for the current semester, which means that recognition and credit transfer is only possible for modules from the required elective catalog as valid for the respective semester. The modules that are valid for the respective semester are automatically listed for selection in the credit transfer portal.

Can I have an achievement recognized as an additional course achievement?

As a rule, examination regulations generally do not provide for including external coursework in addition to the modules of the degree program, unless the examination regulations of specific degree programs expressly permit inclusion of additional coursework.

Students at the KU have the opportunity to acquire additional skills beyond the defined scope of their degree program. They are permitted to complete additional work outside the requirements set out in the examination regulations or the degree program description. Although these achievements are not included in the overall grade of the degree program and are not listed in the final academic record, they can be documented as additional achievements in the appendix to the Transcript of Records in accordance with the following conditions:

  •  Modules that were completed at the KU parallel to the respective degree program.
  • Achievements that have been completed at other universities in Germany or abroad or in alternative formats (e.g. courses at the Bavarian Virtual University) and have been credited to the degree program in accordance with the provisions of Section 25 of the General Examination Regulations (APO).
  • Achievements the inclusion of which is regulated by an explicit opening clause in the examination regulations.

Please note: For reasons of increased readability on this website, the terms " recognition" and "recognized" are also used to refer to the crediting of non-university achievements, unless a distinction is explicitly made.
