Application and enrollment

What is a Hochschulzugangsberechtingung (HZB)?

HZB is the abbreviation for Hochschulzugangsberechtigung, which is a university entrance qualification.

  • As a rule, such qualification is the Abitur (general university entrance qualification).
  • It is also possible to complete school with a subject-specific university entrance qualification (fachgebundene Hochschulreife or Fachhochschulreife). Please note that this school-leaving certificate only entitles you to study certain subjects.
  • With a Fachhochschulreife, you can only study the Bachelor's degree programs in Social Work and Nursing Science at the KU.
  • International applicants can apply for a study place if their school-leaving qualification is recognized as a university entrance qualification. Information can be found on the anabin portal of the Standing Conference of the Ministers of Education and Cultural Affairs.

 

How do I apply for an undergraduate degree program at the Catholic University of Eichstätt-Ingolstadt?

  • Prospective students who would like to study a degree program with admission restrictions (Bachelor’s program, teaching degree) must apply via the application and enrollment portal.
  • Prospective students with international qualifications/school-leaving certificates must apply for every degree program, regardless of whether admission is restricted or open. Important information in this context can be found here.
  • Enrollment is only possible with a corresponding letter of admission.
  • Prospective students who have completed the German Abitur enroll for the undergraduate degree programs with open admissions directly in the application and enrollment portal at the Catholic University of Eichstätt-Ingolstadt by the specified deadlines.

How does an application/enrollment in a higher semester work?

Applications for a higher semester are generally possible both starting in a winter or a summer semester. Please contact the Student Advisory Service in advance.

Why can I not find my desired degree program in the application portal? When can I start applying?

Please check whether the application phase for your desired degree program is active. The application deadlines can be found on the respective degree program websites.

Can I apply for more than one degree program?

You can apply for a maximum of two admission-restricted degree programs and one degree program without admission restrictions.

 

I have not yet received my Abitur certificate, can I still apply or enroll?

It does not make sense to enroll or apply online if you have not yet received your Abitur certificate, as you have to enter the correct certificate date (as stated on the certificate) on the corresponding page in the portal and upload it when applying.

 

Do I have to re-apply for a succession procedure in admission-restricted degree programs?

No, you will automatically take part in any succession procedure, provided you have applied within the deadlines.

Can I study without Abitur?

If you have not completed the Abitur or any other school-based university entrance qualification but have been working for some time or have even passed an advanced vocational training examination (e.g. Meister, Fachwirt, etc.), you can still start your studies at a university under certain conditions.

Depending on your individual professional qualifications, you will be granted general university access or, after successfully completing a probational study period, subject-specific university access.

As a prerequisite for being admitted to a degree program as a professionally qualified person, you must always complete a consultation interview (prior to enrollment or application).

If you have already completed a consultation interview at another Bavarian university in the desired degree program, the proof issued from that university will usually be recognized.

What does the status of my application mean?

  • Status "received"

Applications submitted by you for the first time, including their application subjects, are assigned the status “received”. Applications/application subjects with this status are only stored in the system.

  • Status "in progress"

We have received your application and it is currently being reviewed by the person in charge.

  • Status "provisionally excluded"

This status is displayed in the application subject status. It appears if you have applied for a degree program with restricted admission and the required application documents have not been uploaded in full.

  • Status “valid”

The Student Office will set a checked application subject to valid status to show you that the processing of the application subject/application has been completed, all details are correct and all required documents have been submitted. All application subjects that are classified as valid will take part in the allocation procedure.

  • Status "excluded"

This status is displayed if you have applied for a degree program with restricted admission and were not included in the allocation of study places due to incomplete application documentation. You can download the exclusion notice from the portal.

  • Status "admission offer currently not possible"

Depending on the status of the procedure, you will receive an interim notification or the rejection notice with the reasons for rejection. You can download the notice from the portal.

  • Status "admission offer available"

You have received an admission letter for your application. The letter of admission is ready for download from the portal.

  • Status "enrollment applied for"

An application/application subject is set to this status once you have completed online enrollment. Applications/application subjects with this status are only stored in the system. You have to print out the enrollment application and send it to the Student Office by mail together with all required documents.

  • Status "enrollment in progress"

This status indicates that the enrollment application has been received. Processing of applications can take two to three weeks.

  • Status “enrolled”

This status will be displayed when your enrollment has been completed by the Student Office. You will receive the access data by mail.

 

How do I receive the notification of admission or rejection?

The letters of admission and rejection are usually made available online via the portal. In the letter, you will find the deadlines for enrollment and further information on the enrollment process.

 

Is the study place for admission-free undergraduate degree programs secure?

If your desired degree program does not have admission restrictions, you do not need to apply in advance. You can study in this degree program if you have a valid university entrance qualification and enroll in due form and time. Please note any other course-specific requirements such as previous internships or required foreign language skills.

 

How do I apply for a Master’s degree program?

An application via our portal is required for each Master's degree program. You must upload all required documents for the application. The formal review of the documents is carried out in the Student Office; content-wise, they are reviewed by the respective subject departments.

The letters of admission or rejection for Master's degree programs are stored in the application and enrollment portal as a PDF document that you can print out yourself.

As soon as a decision is filed, this is associated with a change in the status of your application. You will be informed of this status change by e-mail.

The enrollment documents must be submitted to the KU "in due time". What does that mean?

The application for enrollment must be printed out, signed and submitted to the KU together with the documents listed on the checklist by the specified deadline. You will find the deadlines for enrollment in the admission-restricted degree programs or Master's degree programs in the letter of admission. How long will it take to process my application for enrollment?

Applications for enrollment are processed in the order in which they are received. Experience has shown that processing takes two to three weeks from receipt of your application, depending on how many applications the Student Office receives at the same time. If you have submitted an incomplete application that requires further inquiries, experience has shown that the processing time will be longer.

 

What is a certified copy?

A certified copy is proper if it contains all of the following features:

  1. Attestation clause certifying that the copy corresponds to the original.
  2. Original signature of the certifying party to confirm the attestation clause.
  3. Official seal, which is usually round or oval and contains an emblem – often an official coat of arms – and the name of the authority.
  4. Certified copies issued by private individuals, lawyers, health insurance companies and banks are not accepted.

Do I have to have health insurance to be able to study?

Yes, all students must provide proof of health insurance status. This is done via the electronic student registration procedure.

Are there any special introductory events for first-semester students?

The KU offers numerous general and subject-specific introductory events, helps you to get to know the University and guides you through the initial phase: Discover our campuses, the libraries, University facilities and study locations. Furthermore, our student representatives and Student Advisory Service are happy to answer all questions you may have on your studies and campus life.

When will I receive my access data and the KU.Card?

You will receive your access data and the KU.Card by mail as soon as we have received all the documents required for enrollment.

Who should I contact if I have questions about the German federal student grant BAföG?

Where can I find my certificates?

You can download and print out your certificate of study (BAföG certificate), confirmation of periods of study and fee certificate from the student service portal.

The office to which you submit such a certificate can then also check the authenticity of this certificate online using a verification function. As a rule, these automatically generated certificates are sufficient for submission to authorities and other bodies.

Why am I unable to log in to the student services portal with my username and password?

If you cannot log in with your login data, it is possible that you have not yet activated your account.

You received the access data for activating your student account by mail following enrollment.

How can I change my personal data?

If your name has changed, please send an e-mail to the Student Office: studierendenbuero@ku.de

Please attach your current identity card or a copy of your marriage certificate etc. to the e-mail.

Your e-mail address will remain unchanged. If you wish to change it, please contact the University Computer Center (urz-sekretariat@ku.de).

If your nationality has changed, please send an e-amil to the Student Office: studierendenbuero(at)ku.de

Please attach sitable proof (e.g. naturalization certificate) to the e-mail.

You can change your mailing address yourself in the "Contact details" tab at studienservice.ku.de.

I would like to change my degree program or teaching subject (teaching degree). How does that work?

If you wish to change your degree program/profile/subject – including a teaching or didactics subject if you study in a teaching degree – this is generally only possible for the new semester; at the earliest when you are re-registered for the following semester and at the latest before the start of the semester in question. You can apply for a change of degree program or subject at the Student Office.

I would like to terminate a degree program, what do I have to do?

Here you will find the application for termination of studies.

Please fill out the application form completely and then send it by e-mail to the Student Office: studierendenbuero(at)ku.de

It takes about one week to process the application. After your application has been processed, you will receive a confirmation e-mail.

Please note: The termination of a degree program does not mean that you are disenrolled!

I would like to change the mode of study (full-time/part-time), what do I have to do?

Here you will find the application form for changing to part-time or full-time studies.

Please fill out the application form completely and then send it by e-mail to the Student Office: studierendenbuero(at)ku.de

It takes about one week to process the application. Placement in the respective semester of the program is carried out by the Examinations Office. The Student Office is responsible for registration. After your application has been processed, you will receive a confirmation e-mail.

When and how do I re-register for the next semester? Has my semester fee been received? Why was I not re-registered even though I paid the semester fee?

You can check for yourself whether the semester fee has been received at studienservice.ku.de.

If you are not re-registered even though you have paid the semester fee, you may be blocked from re-registering. You can also see whether you are blocked in the student services portal under the "Payments" tab.

What is the difference between subject-related semesters (Fachsemester) and university semesters (Hochschulsemester)?

As soon as you enroll at a university in Germany (including universities of applied sciences), your university semesters are counted.

Subject-related semesters, on the other hand, refer to the number of semesters during which you are regularly enrolled in a specific degree program and are not in a semester of leave. The standard period of study stated for degree programs always refers to the subject-related semesters (of the program).

How do I apply for a leave of absence? What are semesters of leave?

The application for leave of absence must be submitted to the Student Office together with suitable proof during the respective re-registration period. Please note that no retroactive leave can be granted.

A semester of leave is a six-month break from studies that can be applied for by students at universities. The student remains enrolled but, depending on the study or examination regulations, may not be allowed to take part in regular teaching or examinations.

Do I have to be enrolled at the time I submit my final thesis and resit examinations?

Yes. You must be regularly enrolled both when registering for the final thesis or when being admitted, during processing and on the day you submit your final thesis. You no longer need to be enrolled for the grading and certificate application.

 

What special contact persons are there for international students?

I had an accident at a sports event/on the way to university, how and to whom do I report the accident?

Students are covered by statutory accident insurance for all study-related activities that are directly connected to the university and its facilities in terms of time and space. Insurance cover is also provided on the way to and from the place of the activity in connection with the insured activity.

The accident must be reported to the Student Office by submitting the completed accident report form and, if applicable, the commuting accident questionnaire.

I am enrolled at two universities. Do I have to pay the semester fee at both universities?

Students who are enrolled at several universities in Bavaria are only liable to pay contributions to the Studierendenwerk in whose area of responsibility they were first enrolled. This does not apply to the so-called “Sozialwerksbeitrag”. This must also be paid at the other university!

Please note that the Student Office must be informed about the double enrollment!

Will I be automatically disenrolled or do I have to submit an application? How long after de-registering will I have access to my account?

If you do not re-register for the following semester on time, you will be de-registered automatically.

You have the option at any time to submit an application for de-registration at the Student Office. De-registration is not possible for a date before the date of receipt of the application. A corresponding confirmation will be sent to you by mail once you have completed your de-registration.

Semester fees already paid can only be refunded if de-registration takes place before the start of the semester (in the winter semester: Oct 01, in the summer semester: Apr 01, for FH degree programs: Mar 15).

After de-registering, you will be able to access KU.Campus for approx. 4 months. Afterwards, your user ID will expire and you will no longer be able to log in.
